E-mail — ईमेल

E-mail (Electronic Mail) digital messages को network के माध्यम से send/receive करने की system है।

E-mail = Electronic Message + Network + Recipient

Key Features:

  • Can be stored and forwarded
  • Multiple recipients possible (To, CC, BCC)

Advantages: Fast, economical, permanent record, attachments, global reach

Limitations: No immediate feedback, spam, phishing, attachment size limits

E-mail Structure — ईमेल संरचना

  • To — मुख्य प्राप्तकर्ता: Primary recipient(s) of the email.
  • CC (Carbon Copy) — कार्बन कॉपी: Additional recipients whose addresses are visible to all.
  • BCC (Blind Carbon Copy) — ब्लाइंड कार्बन कॉपी: Additional recipients whose addresses are not visible to other recipients.
  • Subject — विषय: Concise summary of the email's purpose.
  • Body — मुख्य भाग: The main content of the email.
  • Attachment — संलग्नक: File(s) sent along with the email.
  • Signature — हस्ताक्षर: Sender's identification/contact information (automated).

CC & BCC — CC एवं BCC

  • CC (Carbon Copy):
    • Recipients are visible to all other recipients
    • Used when everyone should know who received the email
    • Example: Project team members
  • BCC (Blind Carbon Copy):
    • Recipients are hidden from other recipients
    • Used to protect privacy or when recipients don't need to see each other
    • Example: Sending a bulk email to many people

Exam Point: BCC recipients are hidden from all other recipients, including those in To and CC.

E-mail Protocols — ईमेल प्रोटोकॉल

  • SMTP (Simple Mail Transfer Protocol): Used for sending e-mail. Port 25.
  • POP3 (Post Office Protocol Version 3): Used for receiving/downloading e-mail from server to client. Port 110.
  • IMAP (Internet Message Access Protocol): Used for accessing and synchronising e-mail on the server. Port 143.

SMTP — SMTP

SMTP (Simple Mail Transfer Protocol): Protocol for sending e-mail from client to server and between servers.

  • Port: 25 (default)
  • Function: Outgoing mail transfer
  • Direction: Sender → Server → Recipient's Server
  • Works with: POP3 or IMAP for receiving

Key Point: SMTP is used only for sending e-mail, not for receiving.

POP3 — POP3

POP3 (Post Office Protocol Version 3): Protocol for downloading/retrieving e-mail from server to client.

  • Port: 110
  • Function: Mail retrieval and download
  • Direction: Server → Client
  • Default behavior: Downloads and removes from server (can be configured to keep a copy)
  • Best for: Single device access; offline access

Limitation: Limited synchronisation across multiple devices.

IMAP — IMAP

IMAP (Internet Message Access Protocol): Protocol for accessing and managing e-mail on the server.

  • Port: 143
  • Function: Mail management and synchronisation
  • Direction: Server → Client (with server storage)
  • Keeps messages on server — syncs across multiple devices
  • Best for: Multiple device access; synchronisation

Advantage: Same inbox, folders, and read/unread status across all devices.
